iAccounting Vahi Khata (Android app) and iaccounting.in · Effective 22 September 2026
iAccounting Vahi Khata is a free bookkeeping app for small shops and families in India, published by
iAccounting (Atulya Solution), Gwalior, India. This page explains what the app stores, what it sends to our
server, and what it never does.
1. Your books stay on your phone
- All accounting entries (sales, purchases, day book, parties, balances) are stored only on your phone, in a
database encrypted with a key derived from your mobile number and password.
- We cannot read your books. They are never uploaded to iaccounting.in.
- If you uninstall the app or delete its data, the books on that phone are gone unless you made a backup.
2. What we store on our server (iaccounting.in)
To register the app and run the pay-as-you-go AI wallet we keep, for each account:
- Mobile number, name, business name and city that you enter at registration; a hashed password (we cannot see it).
- The e-mail address of the Google account you choose for backups, if you enter one.
- Phone model, Android app-set identifier and app version of the phone that is signed in, so that only one phone
at a time can use an account and a lost phone can be signed out.
- Wallet balance, recharge payments and AI usage charges (amounts, dates, token counts). No entry content is stored.
3. AI features
- When you use "Munim ji" or "Scan with AI", the text you type or speak, a short summary of your balances, and the
photos of bills or pages you choose are sent through iaccounting.in to Google's Gemini API to produce the
answer or the draft entries. Nothing is sent unless you start an AI action.
- We do not keep the photos or the AI conversation on our server after the answer is returned. Google processes
the request under its API terms and does not use API data to train its models.
- Voice input uses the speech recognition service on your phone (Google). Read-aloud uses the phone's text-to-speech.
4. Google Drive backup
- If you choose "Backup to Google Drive", the app asks for access to its own private application folder in your
Google Drive (scope
drive.appdata). It can only see and manage the backup files it created; it cannot
read any other file in your Drive.
- The backup file is the same encrypted database as on your phone. It can be opened only with your mobile number
and password. iaccounting.in never receives it.
- You can remove the app's access at any time at myaccount.google.com/permissions,
and delete the backups from within the app.
- Android's own backup service may also copy the encrypted database to your Google account backup, according to
your phone's backup settings.
5. Payments
Wallet recharges are processed by Razorpay on their secure page. We receive the payment id, amount and status;
we never see your card, UPI or bank details.
6. Permissions the app asks for
- Camera / photos: only to photograph bills and pages for AI reading, when you tap the camera.
- Microphone: only for voice input to Munim ji, when you tap the microphone.
- Bluetooth: only to print on a thermal receipt printer you choose.
- Internet: sign-in, wallet, AI and Google Drive.
The app does not read your contacts, SMS, call logs, location or other apps' data, and shows no advertisements.
7. Sharing
We do not sell or share your personal data. Data leaves our systems only to the processors named above (Google
Gemini API for AI requests you start, Google Drive for backups you start, Razorpay for payments) and when the law
requires it.
8. Retention and deletion
- Your account record and wallet history are kept while the account exists.
- To delete your account and its server data, e-mail billing@iaccounting.in
from the registered mobile number's owner, or use "Mobile stolen or lost" in the app to wipe a lost phone.
Deletion is completed within 30 days; an unused wallet balance is not refundable.
- The books on your phone are under your control: uninstalling the app or clearing its data removes them.
9. Children
The app is meant for business owners and adults managing household accounts, not for children under 13.
10. Changes and contact
We may update this policy; the date at the top shows the current version. Questions:

Terms of use (short form)
- The app is free. Only AI features use the prepaid wallet; charges are shown in the app for every AI call.
- Wallet credits are valid for one year from each recharge and are not transferable or refundable.
- The AI reads and drafts entries; you review and approve them. You are responsible for the accuracy of your books
and for keeping your password and backups safe.
- The service is provided as is; iAccounting is not liable for loss of data caused by a lost phone without a backup.
