Video 1 — Scan a Fuel Bill, Book the Expense (Hindi)
This recording shows the fastest workflow in iAccounting: a crumpled petrol-pump bill photographed on a phone becomes a complete, posted expense voucher — with the vendor, GSTIN, date, tax and total read automatically by the AI. The narration is in Hindi, so share it freely with your accountant or office staff.
What happens in the video, step by step
- Open the scanner — from the mobile app (camera icon) or drag the bill image into the desktop app.
- Capture the bill — edges are auto-detected; the image is straightened and enhanced.
- AI extraction runs — in a few seconds the screen shows vendor name, GSTIN, invoice number, date, taxable value, GST and grand total, each with a confidence score.
- Ledger is suggested — the system proposes the right expense head (here, Fuel & Vehicle Expenses) based on the vendor and your past entries. Tap to change if needed.
- Review and post — one tap on Save Voucher and the payment voucher is in your books, with the original bill image attached for audit.
The journal entry it posts for you
For a ₹2,000 fuel bill paid in cash, the voucher behind the scenes is exactly what a manual bookkeeper would write:
- Fuel & Vehicle Expenses A/c Dr. ₹2,000
- To Cash A/c ₹2,000
If the bill carries GST and you are eligible for credit, the input GST is split to its own ledger automatically so your input tax credit is captured for GSTR-3B. Want the theory behind the entry? See our journal entries tutorial.
Video 2 — Purchase Invoice → Automatic Stock Update (Hindi)
▶ Video 2 (Hindi) — Auto stock entry. Can't see the player? Watch on YouTube.
The second recording shows why there are no separate "stock journals" in iAccounting: inventory moves the moment a purchase or sale is posted.
What happens in the video, step by step
- A supplier invoice is entered (or scanned) — line items with quantity, rate, HSN code and input GST.
- The purchase voucher posts — supplier ledger credited, Purchases and Input GST debited.
- Stock updates itself — the same items appear in the stock summary with the new quantity, and valuation is recalculated instantly.
- Reports refresh live — stock summary, supplier outstanding and GST reports all reflect the invoice with zero extra typing.
Try it yourself in 10 minutes
- Download iAccounting free and create your company.
- Photograph any bill from your drawer and repeat Video 1 — see the voucher drafted for you.
- Enter one supplier invoice and open the stock summary to repeat Video 2.
- When you are comfortable, move on to filing GSTR-1 and bank reconciliation — the same "software does the typing" idea runs through everything.
